Bluebird Math — Policies & Terms

Services Provided
Bluebird Math provides K–10 math tutoring, secondary support, and academic coaching. Services include one‑on‑one sessions, seasonal group workshops, and Add‑Ons (check‑ins, homework review, parent strategy sessions, written plans). Service scope and deliverables are described on the Packages & Add‑Ons pages.
Booking & Enrollment
-To begin: schedule a free Strategy Session (20–30 minutes) via call/text.
-Discounted package rates (weekly bundles, monthly retainers, 10‑Hour Bundle) require prepayment to reserve time slots. Single sessions may be booked and paid per session.
Payment & Accepted Methods
-Accepted: cash, Venmo, PayPal, and Zelle.
-Payment timing: package prepayment is due at enrollment; Add‑Ons are due in advance or at time of service; single sessions paid at or before the appointment.
-Invoices available on request; unpaid balances may block future scheduling.
Materials & Resource Fees
-A $50 materials fee is included in the $150 nonrefundable booking deposit for summer workshops; private students are charged a $50 materials fee at enrollment (covers starter handouts and basic materials).
-Additional recommended resources (workbooks, manipulatives, software) may be suggested as the student progresses and are billed separately only with parent/guardian approval.
Cancellation, Rescheduling & Make‑Up Policy
-Single sessions: 24‑hour notice required to avoid a cancellation fee (full session charge may apply).
-Prepaid packages/retainers: 48‑hour notice required to reschedule. Prepaid clients are allowed one make‑up per month (to be scheduled within the package timeframe).
-Asynchronous services (homework review, written plans): nonrefundable once work begins. If I cannot complete within stated turnaround, you will be notified and offered a revised timeline or refund.
Private Session Payments (nonrefundable policy & limited rescheduling)
-Private/single session payments are nonrefundable.
-If you need to reschedule and I have availability within one calendar week of the original appointment, you may transfer your paid session to that new time (subject to my schedule).
-If no suitable slot is available within one week, the session credit may be applied to prepaid packages or future services per our refund/transfer policy (contact to arrange).
-This policy does not override the standard cancellation notice requirements (24‑hour notice for single sessions).
Refunds & Transfers for Prepaid Packages
-Refunds for prepaid packages are considered case‑by‑case. Unused hours may be transferable to another student with 30‑day notice under agreed terms.
-Partial refunds for unused prepaid hours may be offered minus administrative processing. Contact to request a refund.
Scheduling & Availability
-Regular hours and “by appointment” availability are listed on the site.
-Summer travel to Ridgway or Norwood is possible for group bookings (multiple students on the same day) — contact to coordinate.
-Tutor response time for scheduling requests is typically within one business day.
Virtual Sessions — Tech & Conduct
-Tech needed: stable internet, camera‑enabled device (tablet/laptop preferred), and the ability to send PDFs/photos of student work. Platform (Zoom/Google Meet) details are provided at booking.
-Sessions are interactive: screen sharing, digital whiteboard, and file exchange are used as needed.
-Recording: sessions will not be recorded without parent/student consent. If recording is agreed, files are shared securely and deleted on request.
Sick / Illness Policy
-If a student is ill, please cancel the in‑person session and notify me as soon as possible.
-For same‑day illness cancellations, we can convert the session to virtual (if feasible) or schedule a make‑up within the package timeframe.
-Prepaid hours are not refunded for missed sessions due to illness but may be rescheduled per the make‑up policy; exceptions can be arranged case‑by‑case.
-If I must cancel for health reasons, I will offer a virtual alternative or reschedule promptly.
Student Safety & Privacy
-Confidentiality: student information, session notes, and communications are kept private and shared only with authorized parties (parents/guardians) unless required by law.
-Data: contact and payment information are stored only for service delivery and accounting. I do not sell or share personal data. Contact for privacy questions.
Professional Conduct & Expectations
-Tutor responsibilities: prepare lessons, provide professional instruction, and recommend next steps.
-Student responsibilities: arrive prepared and on time, engage actively, attempt assigned practice, and communicate honestly about difficulties so lessons can be effective.
-Family responsibilities: provide a suitable workspace, necessary materials, and timely communication about absences or changes. Respectful communication is expected.
Behavioral Policy
Sessions disrupted by unsafe or abusive behavior may be paused or canceled. The tutor reserves the right to end services if behavior cannot be managed; prepaid balance handling will follow the refund/transfer policy.
Limitations & Liability
-Educational outcomes: while I aim for measurable progress, specific grade or test result guarantees are not offered. Progress depends on consistent attendance, practice, and student effort.
-Liability: Bluebird Math is not responsible for indirect damages; liability is limited to prepaid amounts for services not yet delivered.
Intellectual Property & Materials Use
Materials provided to the student (worksheets, plans) are for personal/family educational use only. Redistribution or commercial use is prohibited without written permission.
Policies Updates & Agreement
-These policies may be updated occasionally; posted revisions take effect immediately. The version on the website is the current policy. Continued use of services after updates constitutes acceptance.
-Enrollment implies agreement to these policies.
